Reopening of club sessions

After very careful consideration and a great deal of head scratching, accompanied by the lack of guidance from the LTA, the Committee are pleased to advise you that we now feel able to reopen our ‘club’ sessions. However, in doing so we will need your help to ensure we continue to take full account of the current government advice to prevent any further Covid 19 outbreaks. PLEASE therefore take time to read the information below before you attend your first ‘club’ session.

When: from 7th September 2020

How: by booking your preferred slot on Clubspark. This will come in a 2nd email in the next few days.

You will have to prebook for every session. At the current time we are unable to let anyone play unless they have booked in advance.
This enables us to have the details of who has attended in case we need to use the track and trace system to advise you, should anyone display any symptoms for the session that you attended.
We are hoping to make arrangements for members who do not have access to the Clubspark system. Please be patient with regard to using the system as we know that from time to time it is not as effective as it needs to be.

Which days are sessions available, at what time and how many places are there, please continue at sessions you were previously attending

Monday 10-12 a.m. green session, 3 courts, 14 places

Monday 7-9 p.m. team members only, 3 courts, 14 places

Tuesday 9-11a.m. red session, 4 courts, 18 places

Wednesday 6-8 p.m. green session, 4 courts, 18 places

Thursday 6-8 p.m. red session,3 courts, 14 places

Friday 8.30-10.15 a.m. green and red session,4 courts, 18 places
10.30-12.15 a.m. green and red session,4 courts, 18 places

Sunday 10-12 a.m. green and red session ,3 courts,14 places

Who will be managing each session
Some of you have very kindly volunteered already to help each session to operate smoothly. For example, the giving out and collection of balls, organising the order of play, length of games and ensuring that everyone present gets to play with other people there etc. Matches should be max of 7 games. However, we still need some more of you to volunteer. If you are willing to help with the running of these club sessions, please contact Celia 07772723207 for further details. We envisage that after the first few weeks everyone will have settled down into the new way of playing so hopefully you will not find this task too arduous.

What else do I need to know
The clubhouse remains closed and will do so until further notice, please therefore ensure that you bring your own water. You should not be congregating around the patio/grounds area and should still take full account of the social distancing guidelines. ENURE THAT YOU SANITISE YOUR HANDS AS ADVISED BOTH BEFORE AND AFTER YOUR GAMES.

Thank you to all of you who responded to our email requesting ideas and help to enable us to start to re-establish the ‘club’ sessions. Please ensure you arrive only 5 minutes before the session is due to start and leave promptly.

Adult Club Championships 2020

It’s that time of year when the Adult Club Championships 2020 will be held. The arrangements will be slightly different this year due to Coronavirus and the Guidelines issued by the LTA. In previous years we have run two tiers for some events. However for this year we will only be running one tier per event as we look to streamline the number of events going on at one time. We will endeavour to try to run some box leagues from October and hope to run some tier 2 events and junior events at a future time. We would still encourage all members to enter and will try to stagger draws to allow players to have matches against similar standards in the first round. This year entry will only be taken online via Clubspark CLOSING DATE : Sunday 30th August. Please copy and paste the link below to enter events:

Once entries have been submitted we hope to make all Draws available to view on the Southbourne Tennis Club website together with dates that matches need to be completed by. Please contact the referee if you have any difficulties with your entry.

N.B. All entrants must complete an online entry. Please read the Rules and Regulations before entering and retain a copy for future reference. We will not be hosting a finals day and ask players to arrange and play their finals over the weekend of the 10th & 11th Oct (17th/18th Oct used as a backup). Exact details will be sent out nearer the time so we can confirm arrangements. Presentations for winners and runners up will be made when we are able to host such an event.

RULES AND REGULATIONS 2020

1. All matches will be played in strict accordance with the Rules of Tennis, the LTA Rules and Regulations including the Code of Conduct.

2. No entry will be accepted after the 30th Aug. Players wishing to enter must fill in an online entry. Remember to fill in your partner’s name if entering any doubles events. Each player entering a doubles event must complete an online entry.

3. Each competitor must be a bona fide member of the Southbourne Tennis Club to be eligible to enter any event.

4. Each competitor is solely responsible for submitting their online entry form and inserting the name of their partner in doubles events. Only Juniors over the age of 14 are permitted to enter the adult events.

5. If any competitor in any event becomes aware that they will not be available to play in the Finals on the 10th and 11th October, they must scratch at match point in any semi-final or earlier if preferred.

6. All matches must be played by the given round dates except with the express consent of the referee. Such dispensation can be given only in very exceptional circumstances.

7. Winning competitors in each round are responsible for letting the referee, Zoltan, know the score by email or text so he can put them through to the next round. Failure to do so will lead the referee to assume the match has not been played and could result in their elimination.

8. All players are equally responsible for contacting opponents to arrange match
dates and offering 3 reasonable match dates/times. Players bracketed top in draw are responsible for :-
a. booking a court b. providing balls.

9. Players should inform the referee at least 4 days before the play-by date if their opponents have failed to make contact or have not offered suitable match dates. In cases where matches haven’t been played by the play-by date and the referee has not been informed of a proposed match date the referee will decide the winner of the match by a coin toss.

10. All matches will consist of 2 tie-break sets. If the match is tied at 1 set all a match tiebreak to 10 points shall be played.

11. Competitors involved in any other events are advised that should a clash of commitments arise, the requirements of Southbourne Tennis Club Championships must take precedence.

12. In the event of an unresolved dispute between competitors, the decision of the referee is final.

September 2020 ‘club’ sessions

The Committee are continuing to work out how best to enable the ‘club’ sessions to be restarted given ongoing concerns around the spread of coronavirus.

When we do so, we need to have a number of different methods in place which we will have to ask all members to take full account of, should they wish to play in these sessions. We envisage that there will be no option but to book in advance.

So prior to restarting we need to identify the following:

  • a way of recording who attends each session (to take into account track and trace)
  • a way of using the Clubspark system so that members book each session (previously you could just turn up)
  • a way of including members who cannot access Clubspark
  • a way of ensuring that not too many members turn up to play to avoid queueing before and after a game
  • a way of organising the play for each session as we won’t be able to use the current board system
  • a volunteer to oversee the whole new system
  • a volunteer to ensure that each separate session runs effectively

Chairpersons Update August 2020

1.Covid 19 arrangements

Toilets and kitchen
In line with the guidance that we issued recently please will you ensure that if you use the toilet you wipe down all surfaces you have touched with anti bac, sadly we don’t think this is always being done. Please also note that the kitchen remains closed so you should not be using it at all yet – not even to get water. Thank you for your co-operation.

Club Sessions
We are aware that recent guidance from the LTA indicates that club sessions are able to restart . The Committee are planning to get these running again in September. We understand that this means there will be no club sessions during August but at present several members are playing fixed fours, arranging tennis practices for themselves and participating in box league matches. Consequently the court usage has been fairly high so it was felt that it was best to enable these events to continue over the summer period. This also gives us time to establish a method of registering people for club sessions so that we can keep track of the attendees and also aim to prevent too many members attending or waiting to play for long periods.

Clubhouse Door locking
All members have been given the key codes for the front door and how to relock it at the end of the day. Please will you ensure that you check the door is relocked when you leave.Full details of this are displayed on the right hand side of the door on the wall. We really do need your help.

2.Congratulations

Dorset Ladies Doubles League
We are delighted to announce that The Ladies 1st Team of Southbourne Tennis Club, captained by Cleo Skilton won the Dorset Ladies Doubles Winter (2019-2020) league.Well done to all concerned. Even though we are a relatively small club we continue to produce some excellent players.

LTA National Tennis Awards
We are delighted to inform you that, not only did we get recognition at County Level(as above) but Dave Sanger, our Head Coach was a finalist for the National Disability Award, having won the Regional Award for his outstanding work and contribution to opening up tennis opportunities to everyone who would like to take part. He not only provides individual and group coaching sessions for learning disability, wheelchair users,visually impaired and hearing disabled but also trains coaches to deliver these specific sessions as well as raising the funds to do so.

3.The future

a. Chairperson
Having completed almost four years in this role I am not standing for re election at the AGM. At the time of writing my successor remains unidentified in spite of my many, and ongoing ,attempts to encourage one of you to take over the reins. As you will realise the club cannot operate without a chairperson and unless the role is filled the Committee will not be able to continue to work effectively. I am very happy to offer my support to the new person and will ensure that I conduct a full handover and briefing as part of ending the role. Yes, it is challenging and at times somewhat difficult but I can assure you that there is a very hard working Committee to support you as well as keeping you on your toes and you will certainly never be bored!

b.Grounds and Clubhouse Maintainence Co-ordinator
This is another crucial role and has been unfilled for over a year. It does not require attendance nor offer membership of the Committee but without someone to oversee all our facilties we cannot be certain that we are operating within all the guidelines. Again despite frequent requests for volunteers we have yet to receive any offers of help. Should this continue to be the case we may have no option but to consider making it a paid role and then decide how we can raise the money to do so. This is probably going to have to be by raising membership fees or asking members for ongoing donations.

If you are able to help move this forward in any way please let us know as soon as possible.

c. Social Secretary
Sadly after the success of the Christmas party last year, Andrew King felt unable to continue in this role. It also remains unfilled. You know what to do if you are interested in getting involved.We look forward to hearing from you.

Major developments for 2020-2021
The priority for next years’ improvements is the replacement of the current floodlights for LEDs and the resources to enable this to happen. Although we had begun to explore this in some detail before the pandemic, our resultant loss of income will make identifying the necessary funds a significant challenge,one which I am certain the new Chairperson will relish!This means that the developments proposed about an additional court and/ or a Padel court are likely to be shelved for the time being.

4.Thankyou
To all members for your ongoing confidence in Southbourne Tennis Club, demonstrated in your positive response when this years’ membership fees became due. We have attracted 14 new members in spite of the current restrictions and the relevant income stream is looking healthier.

To all those of you who felt able to donate to club funds the amount that we offered to reduce your fees to take account of Covid 19. You donated £1000 which we were fortunate to double due to a very generous match funding arrangement with a local charity. We are very grateful to all concerned.

For your patience and understanding during the coronavirus pandemic and your support of the restrictions that this caused. Also when this was exacerbated when Clubspark went down or was being updated. We often receive very late notice when this is being done but aim to do our best to keep you informed as soon as we are able to.

For reading and hopefully responding to this update.Your Committee, the coaching team and several members have worked very hard during the last six months to continue to ensure that you were able to hit a few balls from time to time . We look forward with confidence in the ongoing success of SouthbourneTennis Club.
